Purpose:

  • The payroll / accounts payable specialist will accurately complete weekly payroll tasks in accordance with established practices and guidelines as well as processes vendor invoices including indexing, scanning, routing and payment processing

Responsibilities:

  • Payroll
    • Maintains payroll information by collecting, calculating, and entering data
    • Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers
    • Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages
    • Resolves payroll discrepancies by collecting and analyzing information
    • Provides payroll information by answering questions and requests according to company policies and procedures
    • Maintains payroll operations by following policies and procedures; reporting needed changes
    • Maintains employee confidence and protects payroll operations by keeping information confidential
    • Maintenance and filing of employee payroll records sort and process purchase orders, delivery tickets, in a high speed multi company environment and invoices with high degree of accuracy relating to multiple companies and jobs
  • Accounts Payable
    • Meet deadlines for prior month invoice entries
    • Respond to vendor invoice inquiries both verbally and by written email
    • Work closely with other Company departments
    • Perform accurate coding and payment of invoices
    • Process selected invoice payments
    • Verify account payable balances to monthly vendor statements prior to processing new vendor and materials
    • Monitor utility payments for reasonableness
    • Process credit card statements with verification of receipts
    • Cross training to other duties as needed
  • All other duties as assigned by management

Skills:

  • Ability to effectively and professionally communicate in both verbal and written form
  • Ability to professionally deal with difficult employees and situations
  • Ability to efficiently utilize Microsoft Excel, Word, and Outlook
  • Possess general knowledge of payroll processing knowledge and best practices
  • Possess strong attention to detail required
  • Possess general of accounting knowledge and best practices
  • Possess knowledge of federal and state payroll regulations and requirements

Education:

  • High school diploma/GED required. (Bachelor’s Degree in Accounting or related field preferred)

Experience:

  • Previous accounts payable and / or payroll experience required

Physical Requirements:

  • Ability to remain seated for long periods of time in a standard issue desk chair
  • Ability to tolerate prolonged exposure to computer screens, mobile phone screens
  • Ability to read documents and materials in hard and soft copy form (either naturally or with corrective lenses)
  • Ability to work more than 40 hours in any given week including weekend assignments when required
  • Ability to move from one location to another within and around locations
  • Ability to understand the speech of another person
  • Ability to frequently bend to file and maintain files
  • Ability to occasionally lift 5-10 pounds
  • Ability to remain calm during emergencies and respond appropriately as dictated by the circumstance of the incident
