Purpose:
- The payroll / accounts payable specialist will accurately complete weekly payroll tasks in accordance with established practices and guidelines as well as processes vendor invoices including indexing, scanning, routing and payment processing
Responsibilities:
- Payroll
- Maintains payroll information by collecting, calculating, and entering data
- Updates payroll records by entering changes in exemptions, insurance coverage, savings deductions, and job title and department/division transfers
- Prepares reports by compiling summaries of earnings, taxes, deductions, leave, disability, and nontaxable wages
- Resolves payroll discrepancies by collecting and analyzing information
- Provides payroll information by answering questions and requests according to company policies and procedures
- Maintains payroll operations by following policies and procedures; reporting needed changes
- Maintains employee confidence and protects payroll operations by keeping information confidential
- Maintenance and filing of employee payroll records sort and process purchase orders, delivery tickets, in a high speed multi company environment and invoices with high degree of accuracy relating to multiple companies and jobs
- Accounts Payable
- Meet deadlines for prior month invoice entries
- Respond to vendor invoice inquiries both verbally and by written email
- Work closely with other Company departments
- Perform accurate coding and payment of invoices
- Process selected invoice payments
- Verify account payable balances to monthly vendor statements prior to processing new vendor and materials
- Monitor utility payments for reasonableness
- Process credit card statements with verification of receipts
- Cross training to other duties as needed
- All other duties as assigned by management
Skills:
- Ability to effectively and professionally communicate in both verbal and written form
- Ability to professionally deal with difficult employees and situations
- Ability to efficiently utilize Microsoft Excel, Word, and Outlook
- Possess general knowledge of payroll processing knowledge and best practices
- Possess strong attention to detail required
- Possess general of accounting knowledge and best practices
- Possess knowledge of federal and state payroll regulations and requirements
Education:
- High school diploma/GED required. (Bachelor’s Degree in Accounting or related field preferred)
Experience:
- Previous accounts payable and / or payroll experience required
Physical Requirements:
- Ability to remain seated for long periods of time in a standard issue desk chair
- Ability to tolerate prolonged exposure to computer screens, mobile phone screens
- Ability to read documents and materials in hard and soft copy form (either naturally or with corrective lenses)
- Ability to work more than 40 hours in any given week including weekend assignments when required
- Ability to move from one location to another within and around locations
- Ability to understand the speech of another person
- Ability to frequently bend to file and maintain files
- Ability to occasionally lift 5-10 pounds
- Ability to remain calm during emergencies and respond appropriately as dictated by the circumstance of the incident
